AI Automation

In plain terms, AI is software that can read what you give it — a receipt, a business card, a sentence you spoke — work out what it means, and then act on it. It does three things for you:
  • It does the typing — writing up the note, the email or the ledger entry so you don’t key it in.
  • It does the task — creating the client record, preparing the invoice, coding the journal entry, not just describing them.
  • It automates what comes next — setting up the follow-ups and reminders that should happen days or weeks later, so they still happen when you are busy.
In Internoodle it exists for one reason: to streamline the work so you get through it faster. Jobs that used to be twenty minutes of keying and checking become a few seconds of describing what you want. It does the work; you stay in charge of the result.
Internoodle uses AI assist, not AI acting on your behalf. The AI drafts the work — the email, the note, the journal entry, the post — and then stops and shows it to you. Nothing is sent, posted or saved without your OK. You review what it prepared, change anything you want, and click save. If you never click, nothing happens.
The Lamed feature is our overall software AI automation tool. You will find the Lamed icon in the bottom right corner of the app, on every screen. Click it and simply say what you want to do — “send this client an email”, or “make a note on this client about the meeting” — and Lamed sets it up for you. Again, it is AI assist: it prepares the email or the note and hands it back to you, and you click save to approve it.
Yes. Most areas let you talk into the system instead of typing — and talking is far faster than typing. You do not have to phrase it neatly either: our AI interprets what you said for you and writes it up properly. You can also ask your AI noodle to create an invoice, send an email, create a new client record, or create a journal entry — all by voice command. As everywhere else, you must click save to approve before anything is kept.

Your Database

Everyone lives in one database, but in four separate groups — Clients, Prospects, Leads and Contacts. Each is tracked on its own, with its own list, its own tasks and its own campaigns. That means a marketing email meant for leads never lands in front of a paying client, and your client list isn’t clogged with people who once asked for a price.
  • Lead — someone who has shown interest but you haven’t qualified yet.
  • Prospect — a lead you are actively working: quoted, in conversation, not yet signed.
  • Client — someone who has hired you. This is where invoices, documents and books live.
  • Contact — everyone else you deal with: your accountant, suppliers, referral partners.
Keeping them apart is what lets you see a real pipeline instead of one long undifferentiated address book.
Yes — convert a lead to a prospect, or a prospect to a client, in one click. Their history comes with them, so nothing is retyped and nothing is lost. That conversion is the moment worth measuring, and it is recorded rather than guessed at.
Yes. Photograph the card on your phone and Internoodle reads it and sets up the record for you — name, business, title, phone, email and address — as a Client, Prospect, Lead or Contact, whichever you choose. No typing it up later from a stack of cards in your jacket pocket.
You can have the new record start a workflow automatically. A typical one sends a hello email straight away and then follow-up emails at set intervals afterwards, so the person you met on Tuesday is still being followed up three weeks later without you remembering to do it. You choose which workflow runs, and you can change or stop it at any time.

Accounting

Accounting and Invoicing are free forever. On the accounting side that means a full general ledger with proper double-entry bookkeeping and your financial statements — not a trial, and not a stripped-back sample. You can run your books and produce your statements without paying us anything. (Invoicing and quotes are free too — see the next section.)
Yes. Photograph a receipt on your phone or upload an invoice, and Internoodle reads it and prepares the ledger and journal entries for you — the expense account, the tax split, and the account it was paid from. They are grouped into a batch you review on screen; nothing reaches your general ledger until you post it.
No — the accounting, invoicing and quotes are yours to run yourself. If you would rather hand off tax filing, or you want a hand getting set up, we can connect you with an accountant. That is a separate, optional arrangement between you and them; it is not required to use Internoodle, and it is not a fee we add to your account.
An accounting entity is one complete set of books — a single business, corporation, or person you keep accounts for. Every plan includes a set number (2 on Basic and Starter, 5 on Premium), and any paid plan can add more in blocks; Enterprise entities are an add-on.
Yes. We can integrate with various accounting software. However, our built-in accounting module is designed to make things much simpler for one-person businesses.
Yes we can. We offer custom report and programming services. Please send your report to us for review and quotation.
We integrate with Helcim, a Canadian payment processor, so your clients can pay your invoices by card.

Invoice and Quotation

They are free forever. You get proper Canadian invoicing with GST/HST handled, recurring invoices, and automated payment reminders — plus quotes, so you can send a client a quotation first and turn it into an invoice when they say yes, without retyping it.
Yes — there is a timer built in. Start it when you pick up the phone to a client or begin a piece of work, and stop it when you are done; the time is recorded against that client. When you next raise an invoice, that unbilled time is brought straight into the invoice for you to bill — so the twenty minutes on the phone on a Tuesday afternoon actually gets charged instead of being forgotten by month end.

Sending Files

Use Send File instead of an email attachment. You pick the client, attach the documents and send — the client receives a message from your business, with your name and branding on it, and opens the file from a secure link rather than a copy sitting in an inbox forever. Every send is logged against that client’s record, so months later you can still see exactly what you sent and when.

E-Signatures

Yes. Send any document for e-signature and the client signs on screen — phone, tablet or computer, no printing, scanning or app to install. You can see who has signed and who hasn’t, and chase the stragglers without digging through your sent folder. Engagement letters, authorisations and year-end approvals all work this way.
Yes — unlimited signers on a single document. Add as many people as the document needs and each one signs in their own place, from their own device, wherever they are. Two spouses on a personal return, three partners on an agreement, a whole board on a resolution: nobody has to be in the same room, and you can see at a glance who has signed and who you are still waiting on.
Yes — every file you send and every document you send for signature is tracked. You can see what went out, who it went to, when it was sent, and where each signer has got to. Nothing depends on you remembering, and nothing has to be reconstructed from your sent folder. It all sits against the client’s own record, so when someone says “I never got that,” you can answer in seconds rather than go hunting.

That record matters for more than convenience. You are handling other people’s personal information, and a clear trail of what was sent, to whom, and when is part of handling it responsibly. We manage personal information in compliance with Alberta’s Personal Information Protection Act (PIPA) and, where required, the federal Personal Information Protection and Electronic Documents Act (PIPEDA) — the full detail is in our Privacy Policy.

Campaigns & Messaging

Yes. Build a campaign from a template, choose who it goes to — clients, prospects, leads or contacts — and schedule it. Emails go out branded as your business, and each one is recorded against the contact so you can see what a given client has already received.
Yes. Text campaigns work the same way as email — pick your template and your audience, and schedule the send. Texts are read, which makes them well suited to appointment reminders, document requests and payment nudges rather than long newsletters.
Yes. Messenger campaigns sit alongside email and text, so you can reach people where they actually reply. It is the same flow: choose a template, choose who it goes to, schedule it.
Every campaign carries a one-click unsubscribe, and anyone who opts out is excluded from future sends automatically — you don’t have to remember. That is a legal requirement under Canada’s anti-spam legislation (CASL), so it is built in rather than left to you.

Workflow Automation

Workflow automation lets you schedule tasks, emails, newsletters, and follow-ups automatically so you can reduce manual work and focus on growing your business. AI integration helps you add financial and other data.
The repetitive work you would otherwise do by hand and eventually forget: the follow-up email a few days after a quote, the reminder before a deadline, the task that should appear when a client reaches a certain stage. A workflow is a sequence of steps that runs in order, on its own, so the process happens the same way every time whether or not you are thinking about it.

Social Media

It means managing and scheduling your posts from one place instead of app-hopping. You write a post, choose which of your connected channels it belongs on, and set when it should go out — today, next Tuesday, or spread across the month. Everything you have planned sits on one Content Calendar, so you can see the gaps and the pile-ups at a glance, and edit or reschedule anything before it goes. Sit down once a month, plan the month, and stop deciding what to post every morning.

Yes — Internoodle supports MCP (Model Context Protocol), the open standard AI assistants use to connect to other software. Connect Claude and you can ask it to draft social posts for your channels, which land in Internoodle ready for you to review, edit and schedule. Nothing is published without you approving it first.

In Claude, go to Settings → Connectors → Add custom connector, paste that address, and sign in to your Internoodle account when prompted. Claude then works with your Internoodle data directly — no copying and pasting between windows.

Additional Users

Yes — you can add your Accountant and Assistants as additional users, each with their own login. They work in your account rather than emailing files back and forth, so there is one set of records and one version of the truth.
Yes. You restrict each user to the areas you want them to use and see. Your accountant can be given access to the general ledger and tax-related areas only. An assistant can be restricted to social media only. They simply do not see the rest — you decide, per person, and you can change it at any time.

Custom Workspace

Yes. You can modify the accounting codes used for invoicing and quotes, and the codes behind your database — the types and categories you file Clients, Prospects, Leads and Contacts under. They are yours to name, so the system matches the words your business already uses instead of making you learn ours.
Yes — you customize both the left menu and the upper menu, so only the parts you actually use are on screen. For example, if you don’t use Quotes, you can turn that menu option off and it disappears. You can also customize which views you see when you open a database record, so the tabs that matter to your work are there and the ones that don’t are out of the way. Nothing is deleted — switch anything back on whenever you want it.

Onboarding

Yes — and it is free. Every new customer receives onboarding at no charge, on every plan, including the free one. We would rather spend an hour getting you set up properly than have you give up in week two because something wasn’t where you expected it.
We walk you through the parts you will actually use: your business details and branding, getting your clients and contacts in, sending your first invoice, and setting up whichever pieces matter to you — documents and signatures, campaigns, or your books. We also help you transfer your data across — whether it is coming from another system you are leaving or simply from your own spreadsheets and lists — so you are not retyping it. You end the session with a working system, not a blank one.
No. Onboarding is included free for all new customers — there is no setup fee and no paid tier required to receive help starting out. Alongside it you also receive video tutorials and written guides you can work through in your own time.
Your free onboarding covers what most small businesses (solopreneurs, accountants, advisors, consultants) need — in most cases you are set to go when it ends. Beyond that, if you want the system customized to the way you work, custom reports built, or additional training sessions for you or your team, those may carry a cost. We will always quote you first, so nothing is charged without you agreeing to it.

We don’t file returns ourselves — we refer you to trusted Canadian qualified accountants with over 20 years of experience in sole proprietor tax filing. With your permission, your accountant will have access to your built-in financial foundation.

Technical

Software access is through your personal computer or mobile device. We recommend using Windows 10 or greater and the latest version of Google Chrome or Mozilla Firefox.
Yes. We are hosted with Amazon Web Services (AWS), the leading provider of secure and scalable cloud infrastructure.
Your data is stored securely on Amazon AWS servers in Central Canada with daily backups, SSL encryption, and enterprise-grade security.
Nothing is deleted. Your paid features simply pause — add a card to continue, or keep using the free-forever accounting, invoicing and time-tracking tools. We’ll remind you before the trial ends.
You’ll see a prompt to upgrade and the affected feature pauses until you do — there are never surprise per-unit overage charges. Your existing data stays put; you simply move up a plan to add more.

Learning & Free Web Tools

No sign-in. No account. No credit card. Our web tools run right in your browser — open the page, fill it in, download your PDF, done. Nothing is stored on our servers. Use them as often as you like, for as long as you like. We also offer the free Internoodle PDF Tool for Windows — that one is an app you download rather than a web page, so we ask for a name and email to send you the link, but there is still no account to create.
Yes. Our video tutorials are short walk-throughs that show you exactly where to click, grouped into sections you can work through in order — starting with Getting Started. Each video does one thing in a few minutes, with the written steps beside it, so you can watch or read whichever suits you.
We do — our guides and articles are written for Canadian businesses, not American ones. They cover invoicing and GST/HST, getting paid on time, collecting documents and signatures, and running a leaner practice. New guides go up on a regular schedule, and you can search or filter them by category. Everything lives together on the Resources page.
Yes, and you don’t need an account to use it. Our free invoice template is GST/HST-ready, fills in on screen and downloads as a real PDF — not a scanned-looking printout — so it carries the fields the CRA expects. Use it as long as you like; when the manual side wears thin, Internoodle sends and tracks the invoices for you.
Yes. The free quote template works the same way — fill it in, download a clean PDF, send it to your client. No account needed. Inside Internoodle, an accepted quote converts into an invoice in one click instead of being retyped.
